Brief:

To provide audio visual services and on-site technical support for a breakfast conference for Cirrus and their special guests from 3 Mobile & Pentland Brands on the 4th floor South Side Tea Salon at Fortnum & Mason.

All 100 attendees sitting banqueting style in a fairly large room had to be able to clearly see and hear content being delivered at the event.

Solution Summary:

Most events require much attention to detail, but quality and seamless production was of particular importance at this event as the companies involved would want nothing less. Especially, as they were hosting this breakfast conference at such a prestigious department store and venue in central London. So, at VNV we ensured everything was high quality from the screens, loudspeakers and all 7 radio microphones (5x lapels & 2x handhelds) to ensure that the 5 guest speakers throughout the morning could simply and wirelessly deliver their messages without any hassle.

One of the tricky things about this event were the time restraints as Fortnum & Mason is a department with a busy restaurant from 12pm – 8pm everyday so getting all the equipment in, set up then taken down and out would be time pressured. We managed to rise to the challenge with several extra technical crew than would usually be required to get everything into the venue and set up swiftly with time to make on-site adjustments to equipment positions and run thorough tests both the night before and morning of the event.

 

Specification:

After a site visit and several logistical conversations with the Fortnum & Mason event’s team we determined what was required…

  • 1x 8ft x 6ft Projection Screen & Projector
  • 4x 50” Plasma Screen & Stands
  • 1x PC / Video Switcher
  • 1x Remote Point Clicker (so speakers could easily change slides themselves)
  • 4x Loudspeakers & Amplification
  • 7x Handheld Radio Microphone, 5x Lapel & 2x Handheld (for guest speakers & Q&A)
  • 1x Digital Multichannel PA Mixer
  • 1x 7ft Plain Black Control Booth (to conceal cables & some of the equipment)
  • 2x AV Technicians (1 on audio, 1 on visuals)

Execution:

Although the client only asked for 4x 50” Plasma Screens we also recommended that they have an 8ft x 6ft projection screen and projector as one main focal point for the visuals, while the 4x 50” Plasma Screens would be used as extra visual monitors in various parts of the room. All screens showed the same video and slideshow presentations at the same time.

4 powerful wide dispersion loudspeakers were also used to clearly and evenly provide sound for the whole room without the need to have the audio very loud.

As the room was at maximum capacity and it would be a very busy morning of food and drink there was limited space for the control / technician area, so we made sure we were in a position that didn’t impede guest seating or service staff entering and exiting the bar.

Our technicians were also suited and booted in shirts, trousers and shoes upon the client’s request to keep them in line with the event and venue’s prestigious theme.
